Description of Duties

The State University of New York (SUNY) College at Canton invites qualified applicants for a full-time, 12-month position in the Learning Commons Department, beginning 9/1/25.

This position ensures efficient daily operations in the learning commons and associated offices and programs (tutoring services, library, and non-academic assessment). Reporting to the executive director for the learning commons, this person will be responsible for a range of projects they will work on independently or in coordination with other staff members, i.e., the director of tutoring services, library director, and the building manager. The staff assistant will supervise the office assistant to ensure that all office operations run smoothly and efficiently.

Responsibilities

  • Supervise the learning commons office assistant to ensure that all office-related operations for the learning commons are carried out in an efficient, timely, and professional manner.
  • Create and make accessible schedules for tutoring, late-night hours, and events programming.
  • Coordinate with the outreach & instruction librarian to create promotional materials for use in the building and distribution across campus.
  • Maintain social media for the learning commons.
  • Coordinate hiring hourly tutors and work-study students for the library and tutoring services, including the completion of hire paperwork and other onboarding procedures for each area.
  • Assist the building manager in implementing orientation and training for all student hires. Establish work schedules and track student worker attendance.
  • Develop and maintain electronic filing systems associated with personnel, hiring, and payroll for hourly personnel for tutoring services, library, and learning commons.
  • Track and keep information regarding professional staff development, evaluation, and other required documentation.
  • Develop and manage electronic tracking systems for budgets associated with the learning commons (state, Perkins grant, CCDA grant, IFRs, work-study, etc.). Create regular budget reports as requested.
  • Manage communications, calendar, appointments, and scheduling.
  • Coordinate travel requests from staff with the executive director's approval. Schedule training, staff meetings, coordinate announcements, and provide announcements.
  • Contribute to or manage projects for the executive director associated with the learning commons and non-academic assessment.
  • Use learning commons tracking software, including Starfish and Alma. Troubleshoot and create reports. Maintain a monthly statistics dashboard for tracking services, usage, grant activities, etc. Assist the directors and the executive director in gathering and summarizing statistics and information for reporting and creating budgets.
  • Review documents to ensure proper formatting and accessibility and recommend revisions. Copy and file as needed. Create promotional materials for the learning commons, tutoring services, the library, and non-academic assessment.
  • Maintain the websites for the learning commons, tutoring services, and non-academic assessment. Make regular updates on content changes, design improvements, and accessibility assurance.
  • Coordinate the learning commons student advisory committee and provide notes and action items.
  • Coordinate outreach for student orientation and all admissions events to ensure that there is proper coverage and representation of the learning commons staff, services, and resources.

Qualifications

Required:

  • A bachelor’s degree in a related field.
  • Familiarity in events management, project management, and budget management.
  • Comfort in using and creating Excel spreadsheets to track and report data.
  • Customer service experience, communication skills, demonstrated work ethic and attention to detail.
  • Demonstrated ability to use conflict resolution skills and maintain positive professional relationships.
  • Ability to prioritize and independently make decisions and manage projects.
  • Proficiency with computer skills and applications, business writing skills, and ability to use internet searches and web-based forms.

Preferred:

  • In addition to the required qualifications, experience working in a higher education setting and/or office setting.
