Description of Duties
SUNY Canton seeks a dynamic, creative, and organized individual to serve as the Special Events Coordinator.
Responsibilities
- Coordinate a wide variety of special events for internal (faculty/staff) and external parties, including but not limited to, conferences, meetings, seminars, ceremonies, receptions, etc., ensuring that all needs are met with regard to Food Service, Information Services, University Police, Facilities and Maintenance, etc., to achieve a successful event.
- Serve as the lead expert for the Event Management Systems (EMS) software. Monitor, review, and act on event reservation requests submitted through EMS.
- Serve as the contact and coordinator for external event requests, which includes serving as the administrator for the centralized permit process.
- Plan, manage, and execute Commencement, Employee Recognition Day, Children’s Holiday Party, Memorial Tree Plantings/Dedications, and other campus-wide events – i.e., groundbreakings, grand openings, convocations, etc.
- Plan and coordinate the College’s Fall Opening Week Schedule and Activities, in collaboration with the President’s Office.
- Provide support to other on-campus offices/areas for various events, with supervisor approval – i.e., New Student Orientation Sessions.
- Develop and/or post sign graphics and schedule digital sign displays through the digital sign system.
- Hold/attend administrative meetings.
- Serve on campus committees – some assigned due to position; some assigned by recommendation or choice.
- Supervise volunteers and staff assigned to campus events and/or projects.
- Develop an annual budget request; process payments and expenses; manage office accounts; prepare reports as needed.
- Develop, maintain, and update a Special Events Standard Operating Procedure Manual.
Qualifications
Required:
- A minimum of three years of relevant, demonstrated experience.
- Strong computer skills and ability to use Microsoft Office programs (Word, Excel, Outlook, etc.).
- Qualities ~ professionalism (on and off campus), detail-oriented, willingness to follow instructions, self-starter, collaborative, personable, flexible, and a strong work ethic.
Preferred:
- Working knowledge of Adobe Photoshop, EMS software, and/or digital design or ability to learn/use (training will be offered).
Prior to a final offer of employment, the selected candidate will be required to submit to a background check including, but not limited to, employment verification, educational and other credential verification, and criminal background check.
