Data Use and Request Policy: Unit-Record Level Data

Any individual or department requesting unit-record level rather than aggregate data may be required to gain approval from the Director of Institutional Research and the Provost. Unit-record level data refers to any information that SUNY Canton collects on individual students, including personal information, enrollment information, academic outcomes, and individual survey responses. If required, the requestor must provide a justification of need to the Director of Institutional Research. This justification must include the following:

  • Rationale for the need for unit-record level data
  • Plans for how this data will be used
  • Disclosure of all individuals who will have access to the dataset and any reports generated as a result of that data use
  • IRB approval documentation (if applicable)
  • Certificate of completion of CITI Training (if applicable)
  • How this information is expected to benefit SUNY Canton
  • Attestation that the data and any reports created will not be shared outside of SUNY Canton

If your request is approved, the requestor must also agree to supply the Director of Institutional Research with a copy of any reports generated from the data.
